How to use the license and sub license part of the gritAnimal application

Licenses

To navigate to the Animal Licenses page, click the Licenses button in the top button row on the Animal dashboard.


The Animal Licenses page is a grid listing all the current licenses. There is always a license named Unrestrictive that can not and should not be deleted. This is a system license used to hold animals that have been released for reuse, but still have not been added to a study.



To add a new license, click on the + (plus) button in the top right toolbar.



Licenses in gritAnimal are not very detailed. They only have a name, a descrition text field and a start and end date.

Sub licenses

The details are instead stored in Sub Licenses linked to a license.


To create a sub license, firstly open the relevant license by clicking on it in the Animal Licenses grid, then click the Sub Licenses tab header and click the top right + (plus) button.



For each sub license we can define a Purpose. In the above example we have chosen PB9, sensory organs.

Sub license quotas

For a sub license we must also define quotas.


It is very important to define the quotas! If you do not, animals can not be ordered and created in the system.

It is also very important to define the quotas correctly!

A quota defines the number of animals of a specific species that can be used in a given reporting time frame. The below example defines that for our C1 - Ear infection sub license we can use up to 1000 mice between 1 of january 2023 and 31 dec 2023.



When creating quotas, make sure that the valid from/to do not overlap between two adjacent quotas on the same sub license, meaning that for example the above mice quota should not have Valid to set to 1 of january 2024, because the next quota would start with that date.

The system will warn about overlapping quotas when animals are being ordered if there is ambiguity between what quota a new animal would count against.
